Medical Safety & Prescribing Policy
All treatments at Vidalane Aesthetics are carried out by a fully qualified, GMC-registered doctor. As a private aesthetics clinic operating outside the NHS, there are important limitations to the medical services we provide.
- We do not prescribe medications, including antibiotics, steroids, or pain relief, as we do not have access to your full NHS medical records, blood tests, or diagnostic tools required for safe prescribing.
- We do not provide emergency medical treatment or long-term medical follow-up. This applies to all treatments, including PRP, microneedling, skin rejuvenation, and injectable services.
- Vidalane Aesthetics is not a substitute for your GP or primary care provider. If you are unsure whether a treatment is suitable for you due to a medical condition, medication, or health concern, you are strongly advised to consult your GP before booking.
Consent Requirement
- All clients are required to read and sign a detailed consent form before any treatment. This form outlines the treatment process, pre-treatment care requirements, risks, and necessary information to proceed safely.
- Consent is also required for dermatoscope imaging, which may be offered for before-and-after tracking as part of your clinical records. Dermatoscope imaging will only be performed with your explicit consent. If consent for dermatoscope imaging is not provided, treatment can still proceed; however, the price of the treatment remains the same.
- Important: If consent to treatment itself is not given on the day of your appointment, your entire deposit will be forfeited to cover clinical time and resources allocated. No refunds will be issued in this circumstance.
- Pre-Treatment Care Agreement: By attending your appointment, you acknowledge that you have received and agree to follow pre-treatment care instructions. Failure to comply with pre-treatment care may impact your results or suitability on the day.
Pregnancy, Breastfeeding & Family Planning Policy
- Vidalane Aesthetics does not perform treatments on clients who are pregnant, breastfeeding, or actively trying to conceive.
- You must inform us before booking or attending your appointment if you are pregnant, breastfeeding, or planning pregnancy within the next 3 months.
- If you disclose pregnancy or breastfeeding on the treatment day, your appointment will be cancelled for safety reasons, and your deposit will be forfeited to cover clinical time and resources.
Health Changes & Vaccination Policy
- You must notify Vidalane Aesthetics at least 48 hours before your appointment of any changes to your health, new medications, recent illness, or vaccinations within the last 2 weeks, as these may affect your suitability for treatment.
- Failure to disclose relevant health information may result in cancellation on the day, and your deposit will be forfeited.
Additional Safety Policies
- Infection Control: Please do not attend your appointment if you are unwell, have an active infection, or are within 14 days of a contagious illness. You must inform us at least 48 hours prior to your appointment if you are unwell. Failure to do so will result in the loss of your deposit.
- Allergy Disclosure: You are responsible for informing us of any known allergies prior to treatment. Vidalane Aesthetics will not be liable for reactions due to undisclosed allergies.
- Unforeseen Circumstances: If we are unable to provide treatment due to circumstances beyond our control (e.g., power outages, staff illness, or government restrictions), we will offer to reschedule your appointment at no additional cost.
Complications & Aftercare
- Minor side effects such as redness, swelling, or dryness are normal and will be explained during your aftercare.
- In the event of signs of infection, allergic reaction, or unexpected complications, we will:
- Provide a written handover summary.
- Advise you to attend your GP, call 111, or visit your nearest Emergency Department (A&E).
Right to Refuse Treatment
Vidalane Aesthetics reserves the right to refuse or discontinue treatment if it is deemed unsuitable, unsafe, or in cases of inappropriate client behaviour.
Phone Consultation Policy
- Purpose: Phone consultations are designed to provide general information about our treatments, discuss your concerns, review your medical history, and help determine if you are likely to be a suitable candidate.
- Limitations: Phone consultations do not constitute medical advice, diagnosis, or clearance to proceed with treatment. Final suitability is confirmed at your in-clinic appointment.
- Doctor Call: Once your deposit is paid, our GMC-registered doctor will aim to call you within 48 hours. In some cases, this timeframe may extend due to high demand.
- Client Responsibility: It is your responsibility to consult your GP if you have pre-existing conditions or concerns about your suitability for treatment.
Treatment Pricing Confirmation
- The price of your treatment will be confirmed during your phone consultation.
- You will also receive a confirmation email with your treatment price, appointment date, time, and clinic details.
Deposit Policy
- A £50 deposit is required to secure your phone consultation.
- This deposit is redeemable against treatment costs if you proceed.
- If you are deemed unsuitable for treatment after consultation or in-person assessment, your deposit will be refunded in full.
- Important: If you attend your in-clinic appointment but do not give consent to proceed with treatment, your deposit will be forfeited to cover clinical time and resources. No refunds will be given.
- No Refunds After Treatment: Once a treatment has been performed, no refunds will be issued under any circumstances.
- Cooling-Off Period: As treatments are time-allocated medical services, statutory cooling-off rights do not apply once treatment has been performed.
By paying your consultation deposit, you confirm you have read, understood, and accepted these Terms of Service and pre-treatment care requirements.
Refund, Cancellation & Late Policy
- You must give 48 hours’ notice to cancel or reschedule.
- Cancellations with less than 48 hours’ notice will result in the loss of your deposit.
- No-shows will forfeit the deposit in full.
Late Arrivals:
- Please arrive on time.
- If you are more than 20 minutes late, your appointment may be shortened, rescheduled, or cancelled. If treatment proceeds despite lateness, a £25 late arrival penalty fee will apply. If treatment is cancelled due to lateness, your deposit will be forfeited to cover clinic time and resources.
Treatment Packages:
- Packages must be used within 6 months, with sessions spaced 4–6 weeks apart.
- A total deposit of £150 is required to secure a 3-session package.
- Late cancellations (<48 hours) will result in the loss of your deposit for that session.
- If you are late for a package session but treatment still proceeds, a £25 late fee will apply.
- Missed sessions without notice will be forfeited, and £50 of the package deposit will be lost.
Strict Enforcement: Late fees and deposit forfeitures are enforced to respect clinic time and fairness to other clients.
Difficult Venepuncture Policy
- PRP requires drawing blood. If an adequate sample cannot be obtained, we will offer to reschedule at no charge.
- If you choose not to reschedule, a £30 fee applies to cover clinical time and consumables.
Treatment Disclaimer
- PRP and other aesthetic treatments are not an exact science.
- Results vary between individuals, and no guarantees are made regarding treatment outcomes.
- Multiple sessions may be required for optimal results.
- Failure to follow pre-treatment or aftercare instructions may affect results and safety.
Children & Vulnerable Adults Policy
- Clients must be 18 or over to receive treatment.
- Children and dependents are not allowed in the treatment room.
Privacy, Data Security & Photography Policy
We are committed to protecting your privacy and handling your personal information responsibly.
What information we collect:
- Name, date of birth, and contact details (phone number, email, address)
- Relevant medical history, allergies, and current medications
- Treatment records and clinical photographs (with consent)
How we use your data:
- To assess suitability for treatment and provide safe, effective care.
- For legal, clinical, and insurance purposes.
- All records are confidential and comply with UK GDPR.
- Data Security: Client data is stored securely using encrypted systems and access is restricted to authorised clinical staff only.
Photography & Imaging:
- Clinical photographs and dermatoscope imaging may be taken for treatment monitoring. Consent is required.
- No images will be used for marketing unless explicit consent is given.
Your rights under GDPR:
- Access, correct, or request deletion of your data unless legally required to retain it.

Limitation of Liability
To the fullest extent permitted by law, Vidalane Aesthetics shall not be liable for any indirect, incidental, or consequential damages. Nothing excludes liability for death or personal injury caused by negligence.
